How it works
- Create your club. You can do that right away, with a free trial of 30 days.
- Send us your member list. You send us an Excel file with all your members. Together we agree how you send the file safely.
- We do the rest. We check the file, map the columns to the fields in ClubBalans and import your members.
- You check. We let you know what was imported and what we came across, such as duplicate members or a date we could not read.
What goes in the Excel file
One member per row, with the names of the columns in the first row. Which columns you have does not matter: we take over what is there. The more complete, the better:
- Details of the member: name, address, postal code, place of residence, email address, phone number, date of birth and membership number.
- Company members: the company name, the contact person, the email address for invoices and the Chamber of Commerce number.
- The membership: the date someone became a member, the membership type and, for those who stopped, the end date.
- Your own fields: such as a federation number, a shirt size or the tasks of a volunteer.
Starting from scratch? In ClubBalans you download an Excel template under Import members, with a column for every field, your own fields included, and dropdowns where the choices are fixed.
What we sort out for you
A member list kept for years is rarely completely tidy. We take out duplicate members, read dates in every common notation and recognise company members by their company name. Former members come along with their end date, so the member movement is right from the start.
Careful with personal data
A member list holds personal data. We only use your file for the import and delete it afterwards. Read more in our privacy statement.
Afterwards
Once your members are in, you invoice the membership fees right away, also pro rata for those who join halfway through the year. Read more about the member administration and about switching to ClubBalans.
