Reports that are always up to date
Because all invoices, bank transactions and cash bookings end up in the same bookkeeping, the reports are up to date at any moment. You no longer combine anything in a spreadsheet.
- Profit and loss: income and expenses per category over any period you choose, next to the same period a year earlier.
- Balance sheet: bank, cash, receivables, stock, credit and equity on any date, compared with a year earlier.
- Trial balance: the balance of every category, for those who want to know exactly.
- Journal: all journal entries of the financial year, with the source of every booking.
- Member movement: the number of members per kind of membership over the years, with members joining and leaving.
The annual accounts
The annual accounts combine the balance sheet at the end of the financial year with the profit and loss over the year. Next to the actual figures you see the budget and the previous year, with the difference, so you immediately see where the club deviates. You download the annual accounts as a PDF, with room for the signatures of the board and the audit committee.
The package for the audit committee
The audit committee checks whether the bookkeeping is correct. It needs every document for that, and in ClubBalans you put them together with one click. The package is a ZIP file with:
- the annual accounts and the trial balance;
- all journal entries of the financial year;
- the invoices sent;
- the cash book and the cash counts;
- all receipts and incoming invoices stored as attachments.
The overviews are CSV files you open in Excel or Numbers. No more piles of paper, and no more missing receipts.
Cash audit
For a cash audit you count the money in every register. ClubBalans compares the count with the balance in the books and books any difference. The counts go into the package for the audit committee. Read more under bank and cash.
Close and lock
Once the audit committee has approved the annual accounts, you close the financial year. The result goes to equity and the year is locked. The approved annual accounts stay exactly as they were, even when someone else becomes treasurer later.
