Book the takings of an evening in one go
After an evening or a weekend you enter all sales on one screen with day sales: for each sale paid by card, credit or cash, with what it was and the tip. The form books everything at once, and bar volunteers can write the sales down on a printed form first. The card payments arrive on the bank a few days later in one amount, minus the costs of the payment provider. You process that on the bank transaction, so what has not been paid out yet stays visible. Read more about canteen, credit and stock and in the guide how to book the day sales.
Keep the cash in balance
Every cash register has its own cash book. Afterwards you count the money, and ClubBalans books a difference as a cash difference, so the cash always matches the books. Cash taken to the bank and the other way round you book once, not twice. Read more about bank and cash.
The stock of the bar
You keep drinks and snacks as stock per kind. Every sale lowers the stock, and a count after the season shows what has gone missing, for example through loss or theft. That way you know what the bar really earned.
Sponsors, subsidies and a budget
Companies that support you are registered as company members, with a contribution of their own. A subsidy from the municipality is booked, together with the costs it is meant for, on categories of their own. Make a budget per category, such as hall rental, entertainment and the parade, and compare it with the actual figures all year round.
A treasurer who can change
A new treasurer gets a user of their own with the treasurer role. The change log shows who changed what and when, and all invoices, bookings and annual accounts are in one place. The audit committee gets one package with all bookings, invoices and receipts. Read more about reports and audit committee.
What it costs
You pay per member per year and you try it free first. See the pricing.
