Closing the financial year in ClubBalans

At the end of the financial year you account for the year: you check the annual accounts, the audit committee approves them and then you close the year. In ClubBalans that takes a few steps. After that the year is locked, so the figures of the general meeting can no longer change, and you start the new year. Every step shows a screen with example data.

Our example: Sportvereniging De Demo closes financial year 2025/2026, from 1 July 2025 to 30 June 2026.

Questions

Frequently asked questions

When can I close a financial year?

Only after the last day of the financial year. Until then, instead of the Close button it says from which date it is possible. Financial years are closed in order, the oldest first.

What happens when I close it?

ClubBalans books the result, income minus expenses, on equity, on the last day of the year. After that nothing can be booked, changed or deleted in that year. The balances simply continue into the next year, an opening balance is not needed.

Can I reopen a closed year?

Yes, but only an administrator, and only the most recent closed year first. The closing entry is then removed and you can book again. You see a confirmation, so it never happens by accident.

What is the Auditfile for?

It is the file you give your bookkeeping to the tax authority or your accountant with: XML Auditfile Financieel 4.0, the only version the Dutch tax authority accepts from 2027. You download it with the annual accounts.

Do I have to create a new financial year?

Yes, a financial year does not start by itself. The new year follows the previous one without a gap and lasts twelve months. You can create it before the previous year is closed, so you can carry on booking right away.

What should I do before I close it?

Check the annual accounts, have the audit committee approve them, and count the stock at the end of the year. On the Year end page ClubBalans warns about stock with a value whose last count is not in the last days of the year.
