Setting up notifications in ClubBalans

You cannot watch the bookkeeping all day to see whether a member ran out of credit, or whether bank payments have been waiting for a week. With notification rules ClubBalans keeps an eye on it for you: if this happens, then this person or role gets a notification. Every step comes with a screen with example data.

Our example: the board of Sportvereniging De Demo wants to know when the credit of a member drops below € 20, so the bar can ask for a top-up in time. The notification goes to the Admin role. At your club you would pick the treasurer, for example.

Questions

Frequently asked questions

When is a rule checked?

Every hour. A new notification can arrive up to an hour after the event. To find out right away whether a rule works, click Send test notification.

Do I get the same notification over and over?

No. A rule notifies once per member, invoice or account for as long as the situation lasts. Only when it was resolved, for example because a member topped up their credit, and then happens again, you get a new notification.

Who gets the notification?

All users of the role you choose, or the one user. Every user decides on their own account page whether the notification appears in the notification centre, by email, or both. Someone who switches off both gets nothing.

Which conditions are there?

The credit of a member drops below an amount (also per kind of member), an invoice is overdue for a number of days, the balance of a bank account or cash register drops below an amount, bank transactions wait to be processed for a number of days, a received invoice is due soon and not paid, a document has been in the invoice inbox for a number of days, the subscription is nearly full, and a new member has a membership fee that is not invoiced yet.

Who may create rules?

Administrators and every role that has the Notification rules permission ticked. You set that under Settings, in the permissions per role. By default only an administrator has it.

I get no emails, what is wrong?

Check that By email is ticked on your account page, and that Send emails is switched on under Settings, Miscellaneous. When it is off, ClubBalans sends no emails at all, notifications included. They still arrive in the notification centre.

Can I switch a rule off for a while?

Yes. Untick Active and save. The rule is kept, but notifies nothing while it is paused.

Can I try this in the demo club?

Yes. The demo club has two rules and the notifications that follow from them. The demo club sends no emails, but you see everything in the notification centre.
