Member credit in ClubBalans

Many clubs work with a bar card: a member pays an amount in advance and then spends it at the bar. In ClubBalans that is called credit. You top it up with cash, deduct sales from it and see per member what is left. Every step shows a screen with example data.

Our example: at Sportvereniging De Demo Sanne Schouten tops up € 25.00 on 28 October 2026, and Emma Huisman spends € 4.50 after the match.

Questions

Frequently asked questions

What is credit useful for?

Members pay an amount in advance, for example a bar card of € 50, and then pay from their credit at the bar. That saves change, and you know exactly what a member has left.

Where is the credit in the bookkeeping?

The money members topped up is money the club owes them until it is spent. It is therefore a liability on the balance sheet, under Credits, with a line of its own per member.

Can the credit of a member drop below zero?

Only if you allowed that for that kind of member in the settings. The credit is then negative: an amount the member still owes the club. By default it cannot.

Can a member pay the membership fee with credit?

Yes, if you switch that on in the settings. When you collect the membership fees, the invoice is then paid with the credit right away if the credit covers the whole invoice. Part of the credit is never used.

Can I correct a top-up?

Yes, as long as the financial year is open. You open the top-up in the list and change or delete it. The credit cannot drop below zero in the process.

How do members spend their credit?

At the bar, through the day sales: you enter the sales from credit per member. If you have no day sales, you book a spend, as in step 4.
